Privacy notice
What we collect when you contact us, why, how long we keep it, and what you can ask us to do with it.
Last updated 28 October 2026.
Who we are
HVR Group Ltd, a company registered in England and Wales, number 16750588, is the data controller for the personal data described here. You can contact us about this notice at info@hvrgroupltd.com or on 07460 145145.
What we collect
When you use the quote form, ask for a call back, request a sample or ask for a tool result by email, we collect what you enter: your name, email address, organisation, phone number, the service or sample you are interested in, your preferred call time, your message and any files you attach. When you email or call us, we keep the correspondence.
The website doesn't use cookies, and its fonts are served from our own site, so loading a page doesn't send your details to a font or advertising service. The 3D graphics library on some pages is loaded from Cloudflare's content delivery network (cdnjs), so your IP address reaches Cloudflare when that library loads. Our website host keeps short-lived server logs, which include IP addresses, for security.
Why we use it
We use your details to reply to your enquiry, prepare a quote, deliver work you appoint us for and keep proper business records. Our lawful bases are taking steps at your request before entering into a contract, performing that contract, and our legitimate interest in running the business. We don't ask for your consent to reply to a request you've sent us, because we need your details to do it.
We don't sell your details or share them for marketing.
Where it's held
Form submissions are processed by Netlify Forms, the form service of our website host, and then held in our email and file storage. Netlify, Inc. is based in the United States, so form submissions may be processed there. These transfers are covered by safeguards recognised under UK data protection law: Netlify's data processing agreement includes the standard contractual clauses with the UK International Data Transfer Addendum.
How long we keep it
We keep enquiries that don't lead to work for 2 years. We keep project records for 6 years after completion of the work, or 12 years where the contract is signed as a deed, because of our contractual, insurance and legal obligations.
Your rights
You can ask us to:
- see the personal data we hold about you and get a copy of it
- have it corrected if it is wrong
- have it deleted
- restrict how we use it
- object to how we use it, including where we rely on legitimate interests
- receive data you gave us in a format you can pass to someone else (data portability)
Email us and we'll reply within one month. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk, though we'd like the chance to put it right first.
